We hope that the following information will help you find a role and answer your basic questions about how to join in STPES’s volunteer efforts.

What PTA board and committee chair positions are available?

PTA board and committee chair positions are open to any Stoney Point PTA member and do not require previous board or PTA experience. If you are interested in a PTA board position for the following school year, you should contact the President or a nominating committee member in January or February.  You can also request committee involvement – if there is an activity or event for which you would like to be on a committee, reach out to a current PTA board member.

How do PTA board positions get filled?

A nominating committee, appointed in January of each school year, seeks out nominees for each board position and presents a slate of candidates to the membership at the March PTA meeting. Board elections are conducted at the April PTA meeting.

How do PTA committee chair positions get filled?

After a PTA board is elected, the PTA president for the following school year seeks individuals to fill committee chair roles. If you are interested in a PTA committee chair position for the following school year, you should look for announcements on Facebook, PTA emails, or talk to current board or committee members for more information in January or February.  The board selection process begins in March, with the new board confirmed in the April/May general meeting.

Speak at Beginners Day and other events

Busiest Times of Year: Around our major fund raisers.

Support committee chairs for key fundraising events (Spirit Events, Walkathon, etc).
Continue to monitor success of fundraisers and recommend changes to fund raising objectives and strategies at STPES.

Work with local businesses to create future fundraisers.

Manage Write Stuff fundraiser from March- August.

Busiest Times of Year: Following each PTA meeting

Take minutes at PTA meetings, then forward to executive board members.
Submit minutes for inclusion on the website.
Email minutes from the previous PTA meeting so they can be approved by the membership.
Maintain complete records of members and leaders.

Busiest Times of Year: Beginning of the year due to learning curve; some late Spring/Summer work getting budget ready for Fall with the president.

Prepare the annual tax return.

Pay bills and reimbursements as required.
Oversee ongoing PTA finances ensure adherence to approved PTA budget.

Committees

Description:

Organize 5th grade activities in preparation for the party at the end of the year.  This requires that you have a 5th grade student.  Duties will include creating a committee of 5th grade parents to help organize the party. Meet with the Lead 5th grade teacher for guidance.

Number of volunteers: 1

Description:

This committee serves as child advocates speaking up for the health and wellbeing of all children. The committee will represent the organization at the General Assembly, as well as on committees and with area partners. The Committee will field requests for NCPTA participation in, and input for, education policy initiatives, and may reach out to the media (op-eds, etc.) on behalf of NCPTA.

Time commitment: .5 hours/month + August 3 hour for yearly

Description:

An audit is a formal examination of the financial books and records of the financial officers of the PTA. It serves to certify that receipts and expenditures, as authorized in the minutes, are in conformity with bylaws, standing rules, and budget limitations. The PTA audit serves as an official examination of the financial records conducted by the audit committee, at the times specified in the bylaws and when there is a change in financial officers.

Time commitment: 2 hours/month

Description:

Each month picks a theme for the bulletin board at the back of the building (cafeteria/car rider area).

Post key flyers, calendar of events, etc

Time commitment: 12 hours Dec/ Feb

Description:

Decide on Candy for Holiday/Buddy Gram and then purchase.

Alter flyers from previous years, make copies and distribute to classes.

Collect money, county, and organize assembly get together.

Distribute candy grams.

Time commitment: 2 days/month, during AM school hours

Description:

Work together with the Chairperson in setting up & managing the tasks that are needing to be done. C & C provides helping hands for our teachers usually twice a month. During this time, we laminate, staple, cut, glue, copy and pretty much anything that teachers might need an extra set of hands to get done.

Time commitment: 3 hours/month

Description:

Organizes campus cleanups throughout the year. Works with the school’s Social Worker to help develop a web-based presence, accessible to parents as well as students, and to assist in the identification and development of new Community Service opportunities. Encourages families to provide information about community service opportunities for students.

Description:

Send email out through MemberHub to all STPES PTA members.

Committee and board members will provide all documentation to be shared.

Time Commitment: 4 hours/month

Busiest Time: June-October

Number of Volunteers: 2

Description: Committee helps coordinate basket themes (grade levels), decorations, activities, and food for a fall festival in October. Some hands-on time is required, but it is centered around the event itself.

Time commitment: 3 hours/quarter

 

Description:

Collect and organize the submission of Box Tops quarterly and Coca-Cola Gives.

Time commitment: 2 hours/month

Description:

Search and apply for grants that will benefit Stoney Point Elementary School (ie: supplies, playgrounds, technology, etc).

Time Commitment: 6hrs/event

Busiest Times of Year: On-going

Recruit committee of helpers and focus on making all staff feel welcome at STPES.
This includes hosting several events during the school year including back to school luncheon, winter holiday luncheon, Teacher Appreciation Week, and Proctor breakfast.

Description:

Work with President to compile and layout the quarterly newsletter. Committee members are responsible to send you what they would like shared in newsletter.

Description:

Help identify interested volunteers to make up executive board for the upcoming school year.

Time Commitment:  1 hours per week + 4 hours on Popcorn Friday

Busiest Times of Year:  Last Friday of each month

Description:  Coordinate popcorn orders with the Millstone Theater each month.  Work closely with the Spirit Stick Coordinator for Popcorn and Spirit Stick Fridays.  Ensure appropriate supplies are ordered and on-hand for Popcorn Friday.  Participate in Popcorn and Spirit Stick Friday as often as possible.

Description:

Program provides opportunities for recognition and access to the arts which boost student confidence and success in the arts and in life.

Program helps them explore their own thoughts, feelings and ideas, develop artistic literacy, increase confidence and find a love for learning that will help them become more successful in school and in life.

Description:

Coordinate and manage the gift card program that gives back to our school. Work closely with the VP of Fundraising.

Time commitment: 4 hours/month

Number of volunteers: 1

Description:

Responsible for the STPES PTA Facebook page, along with its contents; monitors current events and announcements of the PTA and the school; promotes events, emergency alerts, weather delays, school closings, and more; and works closely with the VP of Membership to encourage followers to join the PTA and with the individual committee chairpersons to promote events.

Time commitment: 1-2 hours/month

Busiest Time of Year: May- August

Description:

Schedule and plan monthly/bimonthly restaurant and activity nights to help engage our families with local business and fundraise a percentage back to STPES. Securing the dates in the summer is best.

Time Commitment: 2 – 3 hours per week + 4-5 hours on Popcorn Friday

Busiest Times of Year:  Last Friday of each month.  End of Year awards ceremonies.

Description:  Plan spirit stick program for the year and make recommendations to the board.

Place approved orders through the website and conduct inventories once those orders arrive.

Prepare monthly flyer for distribution and work closely with the Popcorn Friday Coordinator.

Participate in Popcorn and Spirit Stick Friday as often as possible.

Inventory all spirit sticks following major sales (Meet & Greet, Popcorn and Spirit Stick Fridays, Fall Festival, Book Fair, Awards Ceremonies, etc.).

Engage on the Spirit Monkey Client Closed Facebook Group to offload extra inventory.

Manage the STPES Spirit Stick email account.

Busiest Times of Year: Beginning of school year

Design and order STPES Spirit Wear items. Work with a vendor to create the design. (Art work is provided by Art teacher.)
Fill incoming orders placed through our online system and facilitate the delivery of items to students.
Utilize the “Order Fulfillment” features of Membership Toolkit so as to keep track of all orders filled.

Attends and sells at night time school events.

Time commitment: 3 hours/month

End of year

Number of volunteers: 1

Description:

Purchase the materials needed to award identified students at end of the year ceremony.

Time Commitment:  5-10 hours per month January – March; May

Busiest Times of Year:  January – March; May

Description:  Work with a committee of volunteers to take photos at various events throughout the year, design the yearbook using a web-based software provided by the publisher, collect, record and track preorders, sort and distribute preordered books once they are delivered and sell extra books at end of year awards ceremonies.  Responsible for all communications with yearbook publisher, staff, student group leaders and teachers.

Time commitment: 1-2 hours a week

Description:
Maintain STPES PTA web presence by updating web information and beautifying the site.
Ensure that paid services are renewed annually. (Domain Registration, Website renewal, etc)
Ensure that online calendar content is up-to-date. (with input from board members and committee chairs)

 

Responsible to maintain and keep current and the information on the website.  Keeping forms, contacts, and articles current and troubleshooting any problems with the site on a monthly basis.  Gathering information to post from various sources to include all board positions, school calendar events and activities, and any school or PTA flyers sent home with the students.
